Position of Treasurer

Article V. Duties of Officers

Section 5 – The Treasurer shall have such duties as are usually associated with that office.  At the discretion of the Board of Directors, the Treasurer shall post a bond of $2,000, the cost of which will be paid by the Minnesota Dahlia Society.  The Treasurer shall present a budget to the Board of Directors at the February Board of Directors meeting for their approval.  Besides a budget of regular Society operations, the budget will include a detailed Annual Show Budget.  The budget will then be presented to Society members at the regular March meeting.

Section 11 – The President, First Vice President, Second Vice President, Secretary, Treasurer, and two directors shall be elected for staggered two-year terms, with three elected one year and four elected the next.

Article XII. Midwest Show and/or National Show Fund

Section 2 – The Treasurer shall maintain a separate savings account to safeguard these funds, and they shall not be expenses without a special authorization of the Board of Directors.

Article XIII. Parliamentary Practices

Section 1 – The order of business shall be Secretary’s Report followed by the Treasurer’s Report.

General duties:

  1. Financial oversight and reporting
  2. Collect and deposit funds from sales
  3. Manage bank and investment accounts
  4. Pay bills and reimbursements
  5. Tax reporting
  6. Budgets
  7. Regular society operations
  8. State Fair Show
  9. Late Show
  10. Midwest Show (Next in approx. 2034)
  11. Income
  12. Annual Tuber Sale
  13. Collaborate with ADS Rep and Awards committee to document cash awards
  14. Write checks for cash awards
Reports
  1. February board meeting budget proposal.
  2. March general member meeting budget presentation.
  3. Income/Expense report at each board meeting; include cash awards
    Annual Reporting
  4. Although we have tax free status, is there any tax reporting required?
 
Track Access to Funds
  1. Treasurer has the checkbook.
  2. Trial Garden Director has the checkbook.
  3. President has the Debit card.
 
Track Credit Card Sales
  1. Login to Square dashboard.
  2. Produce reports.
  3. Reconcile credit card sales to banking statement.
